EPI Report Updates
Reports -> EPI SDR Report
We made improvements to the EPI report and added two more tabs to it:
- Users can export information as a raw data table, image or CSV file
- Added filter for the programme title and student name
- Enrolment Count Card – unique students vs unique enrolments
- EFTs by Student
Student Event Scheduler
(Intake -> Event Scheduler)
We enhanced the event scheduler to allow for attachments in automatically scheduled emails to students. The attachments can be uploaded from your local computer when creating the schedule:
Intakes
Intakes-> Manage Intakes -> Edit Intake
Delete whole intakes if no enrolments are attached to it – warning prompt will be displayed before action is completed.
Intakes-> Student Tab
The function to bulk update student statuses now also allows to ‘Finish and Complete’ student enrolments. A warning prompt will be displayed and the update will not work if any student selected has not achieved all relevant components.
ITR
Error Message – If a message is undelivered and throws an error, users are now able to edit and re-send the communication.
New refresh button for ITR ‘Fetch Enrol Details’ – removes stalled messages from ITR log and submits a new request to check on enrolment statuses.
Validation Error Message format has been improved to display a summary on the main screen.
Default flags in ITR for ‘Disability’ and ‘English as First Language’ changed to TRUE.
NZQA
Enrolment -> Programme Outcome
The NZQA Approval Reference and the Programme Version are no longer editable and will reflect the relevant NZQA reference number as set in the underlying programme.
Grading
Marking -> Grading Scheme
The user interface for the grading schemes has changed. Grading schemes are now presented grouped by type. Clicking into a type will allow a user to manage the grades. A function to clone grading schemes has also been added.
Awards (Programme)
Curriculum -> Programmes -> Awards Tab
A new function of awards has been added to (non ITR) programmes. This function allows to map a programme as an award to another programme in the curriculum setup. E.g. a student studies a diploma but will through out the studies also achieve the certificate.
An award is added to a programme by clicking the Add Award button in edit mode. It will present you with the option of all programmes that can be added as an award. When creating an intake of the selected programme, the intake will contain the components of both the programme and the award (sub programme).
Awards (Enrolment)
Enrolment -> Awards Tab
If awards are setup in the curriculum, the awards will show under the “Awards” tab in the enrolment. SELMA will automatically calculate if an award is achieved based on component completion. Approving the completion will have to be processed by and administrator or registrar.
Once approved by Admin, the Award certificates become available for printing and the awarding person is stated on the row.
Intake
Intake -> Create New Intake
Users can select, and use a programme length, to calculate the intake end date based on the programme length set in the curriculum

An ‘Add Intake’ button has been added to the Intakes Tab within the Curriculum Management section.
Certificate/Diploma
When generated as a PDF from the system, certificate/diploma file names now consist of Student Name and ID
System Comms
- SELMA will now send an email to relevant parties when…
- …assigning a task to a user (the user will receive an email informing of the task assigned)
- …adding a tutor to a class intake (the tutor will receive an email)
- …when a task is due (the assigned person will receive an email)
Online Enrolment Forms
Once an enquiry is submitted online, the administrator can now convert it to a student or and enrolment
Stakeholder Portal
Portal -> Reporting -> Bulk Export PDF Reports
Stakeholders can now bulk export PDF Reports:
Portal -> Student Enrolments
The enrolment grid in the stakeholder portal has been adjusted to show progress, credits and allows for filtering of statuses on top:
Public Trust
Enrolment -> Edit Enrolment -> Public Trust Tab
Before sending an enrolment record to Public Trust, you can select whether they have a student loan or not.
Custom Fields – Update
Settings -> Custom Fields
We have extended the custom field section to include further objects. The objects added are Programme, Component, Intake Component, Enrolment Component, Class, Contact, and Organisation
To add a NEW Custom Field, select a section, label the new field and select a field type. Further data types for custom fields have been added:
You can now order drop down lists in the custom fields. When REORDERING custom fields drop down selections, simply drag and drop the fields into your preferred configuration –
Once finalized, the new field will appear within the relevant section’s Custom Fields Tab. If custom fields have been added to enrolment component and intake component, they will appear in the component slide in window:
Custom Fields – Data Workflow
Settings -> Custom Fields
When a new record is created, it can inherit Custom Field data from the record it is based on – for example, an Enrolment can inherit data from the overarching Intake.
NB: DATA IS ONLY TRANSFERRED UPON CREATION OF INTAKE OR ENROLMENT
Click on the relevant object to define the values it should inherit from another object. E.g. an enrolment can inherit values from the student object, the programme or the intake:
Bug Fixes
- Speed improvements when opening and loading an intake
- There was an issue with LNAAT reports that could not be uploaded into SELMA. This issue is now resolved.
- Duplicates no longer show in Enrolment Grid search results
- NZQA Qualification Check – When reversing batches, some user experienced system timeouts – this issue is now resolved
- Able to delete inactive contact links within your Organisations
- Organisation Search Fix – search for names with an apostrophe is now supported and a pagination issue has been fixed
