New programme versions are required when the credit value, the nominal duration or the target qualification number, strand or version changes. In registering a new version of a complex programme, the sub-programmes must have the same programme number as previous versions. The sub-programme versions may differ. The only field that can be changed on a programme registration without creating a new version of the programme is the start date of the programme (see section 4.1.5 Update a programme registration in ITR user manual). A new programme must be registered if the NZQF level or programme type change.
To initiate the Request new Programme Version in SELMA, please follow this steps:
Open/Edit the existing ITR programme that you wish to request the version change, and clone it.
Confirm the cloning process:
Enter Programme code and name. The Programme code must be unique.
Please wait for the new program version to be generated. Once completed, the page will automatically refresh, and a new button will appear for sending the request to ITR. You are now able to make all necessary adjustments to the program. Once finished, please submit the program to ITR.
This action will initiate the creation of a new course program version in ITR. The program’s clone, along with its history, will be preserved in SELMA, allowing you to revisit the original program whenever needed.
Upon a successful request to ITR, SELMA will seamlessly update the new program to the requested version. ITR will automatically assign the next version number, which remains unchangeable during program editing.
The ITR code and ITR Local identifier for the program remain unchanged throughout this process. This marks the completion of the Request for New Program Version. If any errors occur, address them as per the error message provided by ITR and resend the message accordingly.
The subsequent step involves creating a new Intake for the updated Program version. Intakes are generated following the defined procedure within SELMA. Ensure that you have selected the newly created program before proceeding.
Create intake with the new programme.
Once the intake is successfully created, you can begin transferring enrolments from the previous program version to the new one.
